BDD Pharma Limited (herein referred to as “BDD”, “us”, “our” or “’we”) is registered as a data controller in the United Kingdom, and we ensure that the data you supply to us is processed fairly and lawfully.

This policy relates to how we handle and protect your information in relation to the recruitment process for participating in our clinical studies.

The submission of your personal information to us is entirely voluntary.


When you contact us in relation to participation in a clinical study, this will usually be via our website, via social media (e.g. Facebook) or via e-mail. In the first instance you will typically provide us with your name, e-mail address and telephone number.


We will then ask you to complete a “Medical History Questionnaire”, which will contain information such as your date of birth, gender, postal address, next of kin and GP details. We will also collect sensitive personal information such as height, weight and body mass index, along with your medical and medication history. This information is collected so we can determine your suitability to participate in our clinical studies.


By providing us with your personal and sensitive information, you consent to us processing such information in accordance with this policy.



We will keep the information about you on paper and in a computer database.


We will use and hold your personal information for the purposes of:

  • communicating with you to evaluate your application and to arrange screening for a clinical study;

  • managing the recruitment process for registering your interest in becoming a study volunteer;

  • comparing your data against entry requirements for clinical studies;

  • letting you know about clinical studies which you may be eligible to participate in (in writing, by telephone or by e-mail);

  • answering your queries and enquiries;

  • entering your information into our Volunteer Database (an Excel spreadsheet which is password protected);

  • in other ways as required or permitted by law with your consent.


The legal basis we rely upon for processing of your data / storing your personal information are:

  • Legitimate interest



Your personal information is stored securely on paper copies and/or electronic database, with access restricted to authorised personnel only.

All information will be processed in the United Kingdom.  By submitting your personal information to us, you agree that we may store, transfer and accessed across national borders as needed.

We have security measures in place to protect the confidentiality of your personal information (such as firewalls to protect servers), however we cannot protect your data whilst it is being transferred to us from your computer. We do not take any liability for the transfer of your data.

Some countries outside Europe may not have laws which protect your privacy to the same extent as the Data Protection Act in the UK or European Law. The company will take all reasonable steps to protect your privacy.

Your personal information will be stored for as long as it is needed for the purposes indicated in this policy, in accordance with local laws. If you are recruited into a clinical study, a different retention period may apply which will be explained in the study specific documentation.



Your personal information will not be used by us, or third parties, for direct marketing purposes.

However, we may disclose your personal information to:

  • Protect our legal rights to the extent authorised or permitted by law;

  • BDD staff who may be located in different countries within the EU.

If you are recruited to participate in a clinical study, your personal information may be seen by personnel organising the research and by the applicable regulatory authorities. Your name will not appear on any of the research study documentation; we will only use your unique Subject Identifier (e.g. 001).




We do not knowingly collect data from those aged under 18 years old.  If we learn we have collected personal information from a child under 18 years old, we will delete the information immediately.



You may request details of the personal information we hold on you at any time. The personal information we hold on our Volunteer Database may be corrected or updated at any time.

If you may a request to delete your personal information or ask not to be contacted further, we will comply with this as much as possible, however we may need to retain some personal information for legitimate business purposes or to comply with our legal obligations.
